Task Scheduler
The Task Scheduler form allows you to select staff, sub contractors or any other resources needed to work on this task. * The items displayed are coming from the Duet Users table as these are often staff (Duet users) employed as engineers. However you can create other 'resources' such as vehicles, lifting equipment or other plant in the user table. This means that the Calendar can be used to hold servicing and maintenance dates rendering the resource unavailable to schedule.
The basic details of the task are visible and a list of the available resources.
You can use the Action Menu menu to control Filters and Views to aid resource selection :
The Filter Options are as follows:
- Select Users - use the tick boxes to limit the view of users (resources)

Select Dates - only display users who have availability on the days selected. (By default, today forwards will be selected)

Select Service Areas - the task will belong to a Location that can hold a Service Area and GPS co-ordinates. You can use this filter to display only users relevant the the location service area.
- Clear All Filters - reset filters to default state.
The View Options are as follows:
- Use the tick boxes to select required availability data on a user (resource).
Using The Scheduler
In this example a filter has been set to display users (resources) for the Colorado service area.
We can now see the choices of resources to use.
- Based on the GPS information stored against location and resource the distance is estimated.
- Any other tasks already scheduled for a resource on this day will also be shown.
To schedule Anne Devine, Tapping her entry in the schedule will display her day. The schedule uses the working Time from Anne's Calendar to set the Start and End times for the day. Any tasks already scheduled for Anne will appear.
As we have selected Anne, the scheduler system can see that there are no current tasks scheduled for Anne on this day. Therefore it uses Annes GPS position from her User Profile Location record to see where travel normally starts from, i.e. Home or from Office. It also knows the GPS location of the Task location record. A distance of 21.28 miles to travel is calculated (see green highlight box).
- If there was another task scheduled, Annes 'travel start' location would be taken from the location of that task.
- If any existing task starts later in the day leaving free space, you can place this task earlier or later in the day. This could affect the calculated distance to travel as Annes start position may change.
The Work Duration of the Task is shown in the task details. (expected 2 hours). The Travel Duration is set at 'No Time Recorded' at this point as the work may occur on premises and until we schedule the system does not know the start point.
You can use the > icon against Travel Location to enter the travel time you are allowing for Anne to travel. Choose the hours and minutes.
- To aid you with estimating travel time for this 21.38 mile journey you can use the Action Menu (black box)
- Requery will update the scheduler view with any changes from other users.
- Show planned route will display the map route with estimated travel time. You can then use this as your allowance of travel time for this task (enter it in the Travel Duration field).
- Show street view of location. - will display street view of the tasks location.
Placing the task on the Scheduler
To place this Task in Anne's schedule choose either the Start or End (red boxes).
The Travel Duration was manually updated to 50 minutes to allow some leeway on the task.
Selecting the From Start option has placed the Travel and Work components of the task on the scheduler at the Start position.
To make any amendments at this point there are 3 options : - Remove Task - will remove this task from the planning board (does not delete the task itself). - Move Task Up - will move tasks up the board in 10 minute blocks (if space allows). - Move Task Down - will move tasks down in 10 minute blocks (if space allows).
If you wish to save the schedule, use the Tick icon to save.
You can enter any Notes for Anne.
This Task will now appear in Anne's Task List and Calendar.
