Timesheets Overview
The Timesheets application enables users to record time spent on tasks using a choice of convenient input methods:
-
Quick Entry enables a time entry to be quickly recorded for a specific day. This option often suits users who like to update their timsheets at any convenient point.
-
Today displays a view of entries with time recorded for the current day.
-
Current shows a summary overview of the timesheet for the current period only with the ability to drill down into individual days or entries. Time can be recorded for multiple days at once. If the work done is repetitive and many days entries are repeated, this method minimises entry.
-
Timesheets displays a list of timesheets for all open periods, together with the status of each one. You can select a period and time can be recorded for multiple days of that period.
-
Approval If you are a timesheet approver, timesheets awaiting your attention will appear here. A badge showing the number of items is displayed.
-
Timesheet Manager displays a list of all users timesheet for management purposes. Nominated Users Only.
-
Periods displays a list of timesheets periods define within the timesheet system. Nominated Users Only.
-
Offline Allows timesheet entry if your system is offline.
Time is recorded against a combinations of Dimensions, for example Customer, Project, Task.
Each user completes a timesheet for each Period. Once a timesheet is complete and passes basic validation criteria, it can be submitted for approval. The approver can then either approve the timesheet, or query it and return it to the user for amendment and re-submission.
Timesheet Status
At any time a timesheet will have a status as follows:
- Pending: The timesheet is awaiting completion.
- Submitted: The timesheet has met automatic validation criteria and has been submitted for approval.
- Queried: The timesheet has been queried by an approver and returned to the submitter for amendment of clarification.
- Approved: The timesheet has been approved.
Reporting
Several flexible reports are available in the Report Manager that enable timesheet data to be analysed in various ways. If required, report output can be exported to an Excel spreadsheet or CSV file, for further analysis or import into an external system.
